Statuses, Tags & Owners
A lead carries three independent labels: a follow-up status (how far along), tags (what kind of person), and an assignee (whose job it is).
Follow-up status
The status is single-select and represents where the lead sits in the pipeline. Four are built in:
| Status | Typical meaning |
|---|---|
| New | Just arrived, nobody has touched it |
| Contacted | You’ve emailed or called |
| Converted | They bought |
| Invalid | Duplicate, test data, or clearly not a fit |
Built-in statuses can be renamed but not deleted. On top of those you can add your own and drag to reorder — board columns follow that order.
When you delete a custom status, leads sitting in it are reset to the default status. The confirmation dialog tells you how many are affected before you save.
Tags
Tags are multi-select colour labels for cross-cutting traits that have nothing to do with the stage — “Hot lead”, “Follow up”, “VIP”. A lead can carry several at once.
The division of labour: status answers “how far along”, tags answer “what kind of person”. Don’t use tags to simulate stages, or the two systems will fight each other when you filter.
Deleting a tag removes it from every lead that carries it. The confirmation dialog tells you how many references will be cleared.
Where to configure them
Both live under Leads → Lead settings, in the “Lead Statuses” and “Lead Tags” sections.
Only the organization owner can edit these. Other members see the settings read-only, with a note saying so. Applying tags and changing statuses day to day is not restricted — any member can do that.
Assignee
The assignee hands a lead to a specific team member — it answers “whose job is this”.
- You can assign to active, non-viewer members. The viewer role cannot be assigned leads.
- Change it on a single lead in the “Follow-up” block of the detail page, or on many at once with bulk assign.
- Every change is written to the lead’s activity timeline, and the new owner is notified.
The assignee also matters for bookings: with approval turned on, it is the lead owner who confirms an incoming booking request.
Every status, tag and assignee change is recorded in the lead’s activity, including who changed it and when.
