Managing Bookings
The 1:1 Bookings page is where you handle every session. Filters at the top narrow by quiz and status.
Handling pending requests
With approval on, new bookings land in “Waiting for you”:
- Confirm request — confirms the meeting and releases the address. You can set a meeting link and instructions for this one session; leave them empty to fall back to the team-level settings.
- Decline request — you may add a reason, which goes into the email. They’re notified and can request another time.
Reviewing is done by the organization owner, an admin, or that lead’s owner. A request whose meeting time has already passed can only be declined, not confirmed.
Actions on a confirmed session
| Action | Notes |
|---|---|
| Reschedule | Pick a new time from your available slots; the attendee is emailed and the 24h reminder is re-armed |
| Mark completed | It happened. Internal bookkeeping — the attendee is not contacted |
| Mark no-show | They didn’t turn up. Also internal only |
| Cancel booking | Cancels and notifies the attendee by email |
| View submission | Jumps to the response they submitted |
Completed and No-show can only be set once the meeting has already started. Rescheduling only applies to sessions in the Scheduled state.
Adding a booking by hand
For sessions agreed over the phone or in a chat, record them directly:
Click “Add booking”
Top right of the 1:1 Bookings page.
Pick the lead
Search by name or email. Ordinary members can only add bookings for leads they own; owners and admins have no such limit.
Pick a time
Available times — choose from the normal slot grid, exactly what a respondent would see.
Custom time — enter any date and time, bypassing the slot grid. Useful for recording a special arrangement you already agreed.
Decide about notifying
Tick “Send a confirmation email to the attendee” and they get a confirmation; leave it off and the booking is just a record on your side.
A lead can have only one active booking at a time. Someone who already has one is flagged — cancel or reschedule the existing session first.
How it ties into leads
Bookings and leads are wired together:
- The “Next up” block on a lead’s detail page shows the upcoming session and lets you reschedule or cancel in place.
- The leads list has a Next booking column, and you can filter by whether a lead has one.
- Every request, confirmation, decline, reschedule and cancellation is written to the lead’s activity.
